Acceptance of terms

These terms govern use of happycraftevent.in and any event production engagement with HappyCraft Event LLP, a limited liability partnership registered in India. Using this site means you accept the site terms below.

For an actual engagement, the signed scope document and its payment schedule take precedence wherever they differ from this page. This page fills the gaps; it does not override what you signed.

Services

We provide event production and management: weddings, corporate events, product launches, conferences and seminars, artist management, and pre-wedding shoots. Descriptions on this site are indicative, not an offer, and availability depends on the date and city.

We are the producer, not the venue or the performer. Where we engage vendors, we do so on your behalf against a list you have approved.

Quotations

Quotations are itemised and valid for fourteen days from issue. Vendor rates move with season and availability, so beyond that window we re-cost rather than guess.

A quotation is an offer to work, not a booking. No date is held and no vendor is committed until the scope is signed and the first payment has cleared.

Booking and scope

A booking exists once you have signed the scope document and the first payment has cleared. The scope names the deliverables, the venue, the vendor list and the run sheet we are working to.

Anything not named in the scope is not included. If something was discussed but is missing from the document, tell us before you sign — it is cheaper to correct there than on site.

Payment

The payment schedule sits in your proposal rather than on this page, because it depends on which vendors need advances and when. Typically an advance secures the date, a second instalment covers vendor commitments, and the balance falls due on completion.

Invoices are payable by the date stated on them. Taxes are charged as applicable under Indian law. Where payment is delayed, we may pause work that depends on vendor advances we have not yet been funded for, having told you first.

Vendor advances already paid on your behalf are non-refundable to the extent the vendor retains them.

Changes to scope

Changes are normal and expected. Anything that moves cost, headcount or timeline is re-quoted in writing and needs your written approval before we act on it.

Late changes — inside the final week, or on site — may carry rush charges from vendors, which we pass through at cost with the vendor's figure shown.

Cancellation and postponement

Cancellation charges reflect commitments already made on your behalf rather than a flat percentage. On cancellation we send a written breakdown of what has been paid out, what is recoverable, and what remains due.

Postponement is treated as a change of date rather than a cancellation where the venue and vendors can accommodate it. Any charges they levy for the move are passed through at cost.

We may cancel in the rare case of non-payment, or where proceeding would be unsafe or unlawful. In that event you pay only for work performed and commitments already made.

Client responsibilities

  • Give us accurate information — dates, guest numbers, venue rules and access times — and tell us promptly when it changes.
  • Name one person on your side who can approve decisions, and keep them reachable in the final week and on the day.
  • Obtain the permissions that sit with you rather than us, such as society or venue consents and any licences tied to your own premises.
  • Settle invoices to schedule so vendor commitments can be honoured.
  • Take responsibility for the conduct of your guests and for property they bring on site.

Events outside our control

Weather, power failures, civic or government restrictions, transport strikes, and an artist who does not arrive are risks we plan contingencies for but cannot guarantee against.

Where an event cannot proceed for reasons outside either party's reasonable control, neither side is in breach. We will work with you to reschedule, and charge only for costs already incurred and commitments already made.

Photography and intellectual property

We photograph our own builds and may use those images in our portfolio, on this site, and on social media. If your event is private or under embargo, tell us in writing before the date and we will keep it out of all public material.

Where you commission photography or video from us, you receive the delivered files for your own use and we retain the right to show them as our work, subject to the same opt-out.

Designs, drawings, floor plans, cue sheets and other production documents we create remain ours. You get full licence to use them for your event; reusing them for another event, or passing them to another producer, needs our written consent.

The HappyCraft name, crest and the contents of this site are our property and may not be reproduced without permission.

Third-party vendors

Venues, caterers, performers, AV suppliers and other vendors are separate businesses. We select, brief and manage them, and we hold them to the scope, but their own terms govern their own service.

Where a vendor fails, we will pursue the remedy available under their terms and pass it through to you. We do not accept liability for a vendor's independent acts beyond that.

Limitation of liability

Our total liability for any single event is limited to the fees paid to us for that event. We are not liable for indirect or consequential losses, including lost revenue, lost opportunity, or reputational harm.

Guest property, venue damage caused by guests, and third-party conduct outside our contracted scope remain with the venue and its own terms.

Nothing in these terms limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, or for fraud.

Indemnity

You agree to indemnify us against claims, losses and costs arising from information you gave us that was inaccurate, from permissions that were your responsibility and were not obtained, or from the conduct of your guests.

Privacy

Personal information is handled as described in our privacy policy, which forms part of these terms. Where you pass us contact details for other people — family, colleagues, vendors — you confirm you may lawfully share them for the purpose of running the event.

Governing law and jurisdiction

These terms are governed by the laws of India. The courts of Kolkata, West Bengal have exclusive jurisdiction over any dispute.

Before either side goes near a court, we ask for thirty days of good-faith discussion. In twelve years that has resolved every disagreement we have had.

Changes to these terms

We may update this page as our practices change, and the date at the top will reflect it. The version in force for your engagement is the one current when your scope was signed.
